Terms & Conditions

SERVICES POLICY

Limerick Language Centre referred to in this document as “the College” will provide certain services to the student such as accommodation sourcing and provision, airport pick-up, health insurance & extra activities, and learner protection, among other services however, it is acknowledged by all parties that the College acts as a mere intermediary between the student and third-party providers of these services and shall have no liability to the student in respect of any such third-party services. If the relevant dates for arrival, attendance, approval induction, or any event involving the College are adversely impacted by an event of force majeure or acts of nature such as disasters, conflicts, wars, epidemics, etc., affecting partially or in total any service offered by the College or third parties, the student must always communicate in writing at least the required number of days in advance specified in each service condition. Due to the possibility of (force majeure/movement restrictions) unforeseen circumstances during your semester, classes, timetable, face-to-face, and online classes may change throughout the year. Every effort would be made in order to avoid such actions, however; should this be necessary, the Academic Department or Limerick Language Centre would not be liable under any circumstances, and therefore no compensation or form of refund would be given should any such action be necessary. The program does not include extra accommodation nights, extra flight tickets or accommodation, when not included in the program purchased. Pick-up services are not included in the course price. The same goes for student ID, extra expenses such as public transportation, laundry, Internet, telephone, or any other services not mentioned here. These expenses must be paid directly by the student.

ACCOMMODATION

If the dates of arrival and departure in the city where the services take place do not coincide with the days of accommodation stipulated by the student, it is the student’s responsibility to secure additional accommodation, which is not included in the cost and depends on availability. Accommodation cancellation applications must always be provided in writing. This should be provided at least forty-five (45) days in advance of the agreed starting date. Please note Administration Fees will not be refunded. In the case of accommodation cancellations being made after the student’s starting date, the College will not be held responsible, and the student is not entitled to claim a refund.

AIRPORT PICK-UP

It must be ordered when the student chooses his/her course options, prior to arrival in Ireland. The student must notify the College if his/her flight is delayed. This should be done by e-mail or telephone (numbers are provided upon making a booking). In the case that the student does not receive information about the delayed/missed flights on time, the organization will not be held responsible and the student is not entitled to claim a refund.

HEALTH INSURANCE

The student accepts that insurance is mandatory for Irish Student visa and agrees to pay this. This insurance will cover the full study period. The student accepts that the amount of the insurance fee will be deducted from any applicable refund.

LEARNER PROTECTION

The student accepts that a Learner Protection fee applies to all courses. The student agrees to pay this fee.

In the event of LIMERICK LANGUAGE CENTRE closing, our students would be automatically transferred to one of our MEI partner colleges to complete their course.

PAYMENT POLICY

If the student applies for an installment payment method and it is approved, the student must pay the entire agreed amount before arrival. Failing this, the College may, at its sole discretion, cancel the contract with the student.

REFUND POLICY

Refunds or partial refunds of fees may be considered only in the limited circumstances outlined below. All refund requests are reviewed on a case-by-case basis and are subject to School discretion.

Grounds for Refund or Partial Refund

A refund request may be considered in the following situations:

a) Irish Study Visa refusal
If a student is unsuccessful in obtaining an Irish study visa, a refund request must be submitted in writing and must include:

  • A copy of the official visa refusal letter issued by GNIB (IRP)
  • A copy of the student’s passport showing the relevant entry or refusal stamp

The visa refusal letter will be assessed by the School, which retains full discretion in deciding whether a refund is appropriate.
All original documents issued by the School, along with the student’s GNIB (IRP) card (where applicable), must be returned to Limerick Language Centre before any refund can be considered.

b) Illness or disability
If a student becomes seriously ill or develops a disability after enrolment has been confirmed, a refund request may be considered. A doctor’s certificate is required in all such cases.

c) Refusal of entry to Ireland
If a student is refused entry to Ireland upon arrival, a refund request must be made in writing and accompanied by:

  • A copy of the refusal letter issued by GNIB (IRP)
  • A copy of the stamped passport

As with visa refusals, the School will assess the documentation and retains full discretion in determining whether a refund is appropriate.

Conditions and Limitations

d) Refunds, where applicable, will relate only to fees paid for the most recent year in which the circumstances in (a), (b), or (c) occur.

e) There is no automatic right to a refund if a student changes their mind about studying at Limerick Language Centre.

f) Where a refund is approved after course commencement, the cost of classes already taken will be deducted on a pro-rata basis.

g) If a student withdraws after course commencement, no refund will be issued.

h) Students who provide incorrect or misleading information that results in a visa refusal are not eligible for any refund.

i) From any approved refund, the following will be deducted:

  • €350 administration fee
  • €150 health insurance fee, if already applied
  • €150 learner protection fee, if already applied

j) End-of-course exam fees are non-refundable.

k) If a student misses or delays their flight, the School or agent must be notified in advance. Failure to do so may result in airport transfer fees not being refunded.

l) If a student refuses or leaves School-provided accommodation during the booked period, no accommodation refund will be given.

How to Request a Refund

All refund requests must be submitted online via the Refund Form on www.llcentre.ie.

Where a refund is approved, processing time is approximately six weeks.

ENROLMENT POLICY

To activate enrolment, students must complete and sign the registration form. A course place will be confirmed only once full payment of course fees has been received.

It is the student’s responsibility to attend the School premises and all induction sessions in order to receive information on timetables, schedules, and School procedures. Classes, lessons, or activities missed for personal reasons will not be rescheduled or replaced.

With some exceptions, the School will be closed on public holidays and no classes will take place on these days.

Attendance, Assessment, and Certification

A course attendance certificate will be issued only to students who:

  • Attend at least 85% of their course, and
  • Sit the mandatory end-of-course examination, where applicable

Students acknowledge that a placement test before the start of the course and an end-of-course exam are mandatory and form part of the conditions of their study visa, where applicable. Students agree to sit these exams on the date and time set by the School. The School will arrange exam registration and keep students informed of relevant details.

Fees, Reservations, and Validity

Students are responsible for carefully reading their course quotation and confirming acceptance of it. Once the registration form is signed, the student is deemed to have accepted:

  • The School’s terms and conditions
  • The terms and conditions of any third-party service providers, where applicable

Course reservations are valid for 12 months from the date of first payment. After this period, no refund will apply unless the reason falls within those outlined in the Refund Policy. In some cases, a credit note may be issued, and the total course cost will be adjusted to reflect current prices.

Visas and Immigration Responsibility

The School does not accept responsibility for visa refusals or for refusal of entry into Ireland by government authorities. Any immigration-related fees are the sole responsibility of the student.

The School fully complies with all regulations set out by the Irish Immigration Department and An Garda Síochána. Students accept full responsibility for the accuracy and completeness of all documents submitted in support of their visa application. Visa decisions are made on an individual basis, and immigration officers may request additional documentation, which it is the student’s responsibility to provide.

Force Majeure

The School shall not be held responsible for any loss, damage, or disruption caused by events of force majeure, including but not limited to natural disasters, government actions, or other events beyond the School’s control.

Complaints and Conduct

Any grievances or complaints must be addressed directly with the School through the appropriate complaints procedure. Students must not use social media platforms, blogs, or other public forums to damage the reputation of the School.

Any breach of this condition will be treated seriously, and the student may be held liable for any financial or reputational loss incurred by the School as a result of such actions.

Declaration

By enrolling, the student confirms that they have read, understood, and accepted the terms and conditions outlined in this Enrolment Policy.

ATTENDANCE POLICY

Limerick Language Centre operates a strict attendance policy in line with Irish immigration requirements, TrustEd standards, ILEP and GNIB regulations, and recognised good educational practice. Regular attendance is essential for academic progress and for maintaining student status.

1. Minimum Attendance Requirement

All students at Limerick Language Centre are required to maintain a minimum attendance rate of 85%.

For visa-required students, this is a legal obligation. Students are strongly encouraged to complete their full 25-week programme in one continuous block.

Attendance below 85% is considered a serious breach of School policy and will result in formal warnings. Continued non-compliance may lead to expulsion and notification to the relevant immigration authorities.

2. Class Times and Attendance Recording

Classes operate at the following times:

  • Morning classes: 9.00 am to 12.15 pm, Monday to Friday
  • Afternoon classes: 1.00 pm to 5.00 pm, Monday to Thursday
  • Attendance is recorded in two halves for each class session.
  • Students are expected to attend the full class time every day.

If you arrive more than 15 minutes late after the class start time

(9.00 am for morning classes or 1.00 pm for afternoon classes), you will be marked absent for that class.

This short allowance is for occasional and unavoidable situations only. Arriving late regularly is not acceptable and will affect your attendance record and lead to warnings being issued.

Please make every effort to arrive on time so that you do not miss learning time or risk losing attendance.

Students who leave before the official class end time of 12.15 pm or 5.00 pm will not receive attendance for the second half of the class.

Late arrival and early departure disrupt learning and are reflected in attendance records in accordance with ILEP and GNIB requirements.

Exceptional Early Departure

In very rare and exceptional circumstances, permission to leave early may be granted. This must be:

  • Requested in advance
  • Sent by email to dos@llcentre.ie
  • Explicitly approved before the class takes place
  • Work commitments are not accepted as a reason for early departure.
3. Excessive Absence and Warning Letters

Students who:

Miss any two full days, or

Miss any four class sessions within a single week

will be removed from the attendance list and issued with a formal warning letter. Attendance will continue to decrease while the student remains off the list and does not return to class.

4. Return to Class Procedure

Upon receiving a warning letter, the student must:

  • Log into the Student Portal at www.llcentre.ie
  • Complete the Request Form
  • Select Return to Class

The student will be contacted once approval is granted and must return to class on the specified date.

Failure to submit the Request Form within one week will result in a second warning letter. Repeated offences will result in further warnings.

5. Expulsion and Appeals

After three warning letters, the next offence will result in expulsion and notification to GNIB 

(IRP).

The School is not obliged to issue three warning letters prior to expulsion.

Students who are not deemed to be genuine learners, or who engage in abusive, dishonest, or disruptive behaviour, may be expelled without notice.

Students have five working days to respond to any warning. Where mitigating circumstances exist, students may submit an Appeal against Expulsion via the Student Portal. A meeting will be arranged with a senior member of staff, during which attendance records and warnings will be reviewed. Decisions are made in accordance with School policy and GNIB regulations.

6. Reporting to GNIB

Limerick Language Centre is legally obliged to inform GNIB of:

  • Attendance falling below 85%
  • Prolonged or repeated low attendance

Failure to improve attendance following warnings will result in further action.

7. Sickness and Medical Absence

In cases of illness:

  • Students must notify the School on the first day of absence and on each subsequent day
  • A doctor’s certificate must be presented as soon as possible

Without medical certification, absences are classified as unauthorised. Medical certificates do not replace attendance but are used to justify absences to the School and GNIB.

8. Equality of Application

This policy applies equally to all students.

Non-visa students, including EU students, are also expected to maintain 85% attendance and may be removed from classes or expelled for non-attendance.

Non-attendance is disruptive to teaching, learning, and the overall classroom environment.

9. Certificates and Progression

Limerick Language Centre certificates are issued only to students who:

  • Meet the 85% attendance requirement, and
  • Sit the mandatory end-of-course examination, where applicable for visa-required students
10. Classroom Conduct and Attendance Integrity

Students are expected to:

  • Participate actively and speak English at all times
  • Respect the dignity of teachers and classmates

The following will result in loss of attendance or expulsion:

  • Leaving the classroom for more than 15 minutes without valid reason or permission
  • Tampering with attendance lists or signing on behalf of another student
  • Filming or photographing during class without permission
  • Using mobile phones in class unless explicitly requested by the teacher

Any student whose name is not on the attendance list must report to reception immediately.

11. Course Materials

The General English course book costs €50

Students must have the required book in order to attend General English classes

IELTS and Cambridge courses do not require a course book

12. Online Classes

Where classes move online due to mandated closures, full attendance and participation are required. Students must:

  • Use their own login details
  • Activate camera and microphone when requested
  • Respect all rules regarding content ownership and confidentiality

Recording or sharing any class content is strictly prohibited and may result in expulsion without refund.

EXAMS POLICY

External Examination Requirement for Visa Students

It is mandatory for all student visa holders to sit an external examination at the end of each course, in line with immigration requirements.

By default, Limerick Language Centre will register students for the TIE (Test of Interactive English) upon request. By requesting registration, the student agrees to prepare for and sit the exam on the date set by the School. Examination rules and details will be emailed to students in advance.

The TIE exam fee is €140.

In some cases, it may be necessary for students to take the TIE exam at the official TIE examination centre on Leeson Street, Dublin. Where this applies, students will be informed well in advance and directions will be provided. In all other cases, the TIE exam will take place on the School premises.

Students may choose to take an alternative recognised exam instead of TIE. These options include:

  • FCE (First Certificate in English)
  • CAE (Certificate of Advanced English)
  • IELTS

Any preference to take FCE, CAE, or IELTS must be communicated in good time to the Exam Coordinator at exam@llcentre.ie.

Additional fees apply:

  • FCE or CAE: €240
  • IELTS: €220

Students who fail to attend the exam for which they have been registered will be required to pay the full examination fee again in order to be rebooked.

HOLIDAYS POLICY

1. Student Holiday Entitlement

Students may request a holiday after completing a minimum of 8 weeks of study and maintaining at least 80% attendance.

The maximum holiday entitlement is one third of the time already studied, subject to approval and attendance review. For example:

  • After 9 weeks of study, a student may request up to 3 weeks of holiday

  • After 12 weeks of study, a student may request up to 4 weeks of holiday

The Christmas closure of approximately two weeks is included within each student’s overall holiday entitlement.

All holiday requests must be submitted at least three days in advance and approval depends on the student’s attendance record.

In cases of extenuating circumstances, holiday requests outside these conditions may be considered. Supporting evidence must be provided.

2. School Closure Periods

Limerick Language Centre closes for approximately two weeks at Christmas.
In addition, the School is closed on Irish public and bank holidays.

These closures form part of the academic calendar and are included in attendance and holiday calculations.

3. Working Hours During Holidays (Non-EU/EEA Students)

Under Irish immigration regulations, non-EU/EEA students may work full-time (up to 40 hours per week) during the following periods only:

  • Summer period: 1 June to 30 September

  • Winter period: 15 December to 15 January

At all other times, students are limited to a maximum of 20 working hours per week.

The stated hours are the maximum permitted per week and cannot be averaged. Students working for more than one employer must ensure their total combined working hours remain within the legal limit.

4. Immigration Permission

Permission to work is linked to the student’s Stamp 2 immigration permission and ends when that permission expires.

Students are responsible for complying fully with immigration and employment regulations.

GENERAL PROVISIONS

1. Indemnity

The student agrees to release, defend where required, and indemnify Limerick Language Centre, including its officers, employees, agents, and representatives, against any claims, liabilities, losses, damages, or expenses, including reasonable legal and administrative costs, arising from a breach of these terms by the student.

2. Limitation of Liability

For non-EU students, the School’s liability for any loss, claim, damage, or expense arising from the actions of the School is limited to the fees paid by the student for the current academic year.

For EU students, the School’s liability is subject to the same limitation, except where varied by applicable European law, including cases of intent or gross negligence.

3. Jurisdiction

These terms and conditions, and any dispute arising from them, are governed by the laws of the Republic of Ireland.

4. Third-Party Rights

These terms do not create or confer any rights or remedies for any person or party other than the student and Limerick Language Centre.

5. Severability

If any provision of these terms is found to be invalid or unenforceable, that provision will be removed without affecting the validity or enforceability of the remaining provisions.

6. Entire Agreement

These terms and conditions constitute the entire agreement between the student and the School and supersede any previous oral or written agreements or understandings, unless otherwise agreed in writing and signed by both parties.
